Privacy Policy — TWorld Studio
Last updated: 21/08/26
TWorld Studio ("we", "us", "our") is committed to protecting and respecting your privacy. This policy explains what personal data we collect from you, how we use it, and your rights in relation to it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This policy applies to visitors and customers of tworldstudio.co.uk.
1. Who we are
TWorld Studio Unit 6 Alvecote Stud, Robeys Lane, Alvecote, Tamworth, Staffordshire, B78 1AS
Email: tworldcreative@gmail.com Phone: 07790 309972
We are the "data controller" of the personal information you provide to us, meaning we decide how and why it is processed.
2. What personal data we collect
Depending on how you interact with us, we may collect:
- Contact details — name, email address, phone number, postal address
- Booking and order information — session type, appointment dates, order history, payment status (we do not store full card details — see Section 6)
- Photographs and images — where you book a photo shoot with us, the images we take of you, your family, pets, or your business assets
- Correspondence — messages you send us via our contact form, email, WhatsApp, or social media
- Technical data — IP address, browser type, device information, and pages visited, collected automatically via cookies (see Section 5)
- Marketing preferences — whether you've opted in to receive emails or promotional messages from us
We do not knowingly collect information from children without appropriate parental/guardian consent (for example, where a parent books a family or children's photo shoot on a child's behalf).
3. How we use your data and our legal basis for doing so
| Purpose | Legal basis |
|---|---|
| Processing bookings, orders, and payments | Performance of a contract |
| Responding to enquiries sent via our contact form, email, or phone | Legitimate interests / performance of a contract |
| Sending you images, proofs, or digital downloads from your shoot | Performance of a contract |
| Sending marketing emails or offers (only if you've opted in) | Consent |
| Improving our website and understanding how visitors use it | Legitimate interests / consent (for non-essential cookies) |
| Running paid advertising and tracking ad performance (e.g. Facebook Pixel) | Consent |
| Meeting our legal and accounting obligations | Legal obligation |
Where we rely on consent (such as marketing emails or non-essential cookies), you can withdraw that consent at any time.
4. Use of your photographs
Because photography is central to our business, we want to be clear about how shoot images are handled:
- Images from your session are used to deliver the product/service you booked (proofs, digital downloads).
- We may ask for your separate, explicit permission to use selected images from your shoot in our portfolio, on our website, or on social media for marketing purposes. We will not use your images for marketing without asking you first, and you're free to decline.
- If you've previously given permission for us to use your images and change your mind, contact us using the details in Section 1 and we will remove them from public use within a reasonable time.
5. Cookies
Our website uses cookies — small text files stored on your device — to make the site work properly and to understand how visitors use it. Categories of cookies we use:
- Strictly necessary cookies — required for core site functionality (e.g. shopping basket, checkout)
- Analytics cookies — help us understand site usage (e.g. Google Analytics)
- Marketing/advertising cookies — used for tracking ad performance and building audiences for our advertising (e.g. Meta/Facebook Pixel)
You can control or disable cookies through your browser settings, and where applicable, through the cookie consent banner on our site. Disabling some cookies may affect site functionality.
6. Sharing your data with third parties
We share data with a small number of trusted third parties who help us run our business:
- Payment processors (e.g. WooCommerce Payments, PayPal, Klarna) — to process payments and, for Klarna, to offer buy-now-pay-later checkout options. These providers process your payment data under their own privacy policies.
- Website hosting and platform providers — to run our website (WordPress/WooCommerce).
- Email or communication tools — if you contact us or sign up for updates.
- Meta (Facebook/Instagram) — for advertising and audience tracking, where you have consented to marketing cookies.
We do not sell your personal data to third parties.
7. Data retention
We keep personal data only as long as necessary for the purposes it was collected:
- Order and payment records are kept for as long as required by UK tax and accounting law (currently 6 years).
- Session images are kept for [insert your actual retention period, e.g. "12 months after delivery, after which they may be deleted from our systems"].
- Enquiry/contact form data is kept only as long as needed to respond, unless you go on to book with us.
8. Your rights
Under UK GDPR, you have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (in certain circumstances)
- Object to or restrict certain processing
- Withdraw consent at any time (where processing is based on consent)
- Data portability, where applicable
- Complain to the Information Commissioner's Office (ICO) if you believe we have not handled your data properly: ico.org.uk
To exercise any of these rights, contact us using the details in Section 1.
9. Security
We take reasonable technical and organisational steps to protect your personal data against unauthorised access, loss, or misuse. However, no method of transmission over the internet is 100% secure.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. The "last updated" date at the top of this page shows when it was last revised.
